Known Problems


In this section you can find several problems you can encounter when using BIBMASTER, and the solutions suggested for them. If you need further information, check BIBMASTER manual, or contact with the Coordination Unit BUGZILLA server.
   

   Problems with Service Pack 3

If you have Service Pack 3 installed in your PC you can find find problems while running Bibmaster. Access 2003 may close unexpectedly when you do one of the following:

  • You open a table that contains a LOOKUP field. The table uses the LOOKUP field to look up data in a table that contains more than 30 fields.
  • You open a form that contains a combo box that looks up data in a table that contains more than 30 fields.

You must install the hotfix package to fix all those issues.

 
   Problems with MS Word®


1.- Problems with MS WORD® mail merge when the software is not installed in
C:\BIBMASTER.

If you have installed BIBMASTER software in a folder different from C:\BIBMASTER, you can encounter problems when producing outputs using MS Word® mail merge system. You must indicate MS Word® the folder where BIBMASTER is installed and then you will be asked for confirmation before carrying out the operation. If even after fulfilling this operation you still see an error message, you must change an option inside MS Word®: In the 'Tools' menu option, The 'Options' entry opens a new window. In the 'General' tab you must activate the option 'Confirm conversion at open', if it is not previously active.

2.- Problems when producing documents in MS-WORD®: the document is not merged or the result is not as expected.

Sometimes, when producing BIBMASTER outputs in MS Word®, the result is not as expected: you get only the first record requested, or the typographic correction of your text is not performed.

This happens when MS Word® has its macro security level set to 'high' and avoids document associated macros to be run. To solve this, you must access MS Word® configuration through 'Options' entry in 'Tools' menu. You must choose 'Security' in the new window. In the lower part of the window you can find an entry called 'Macros Security'. Clicking on that button a second window appears where you can choose the security level for your macros. You must choose the 'Medium' level to have MS Word® ask you whether you want to run the document's macros or not. To finish, accept all the opened windows.

To generate the document in the correct way, just close it and produce it again from BIBMASTER.

3.- Barcodes don't appear in labels.

If you're generating labels in BIBMASTER and instead of your barcode you receive a string like “@MA130267@” you may have not installed the barcode font in your computer, essential step to see and print barcodes.

The most frequently used barcode system among botanical collections is Barcode 39. You can get this font from BIBMASTER's Download Pages, 'Other BIBMASTER related downloads' section. To install this font in a MS Windows® system, you just have to unzip the downloaded file into the FONTS folder inside MS Windows® installation folder (frequently C:\WINDOWS\FONTS or C:\WINNT\FONTS).

In zoological collections, the bi-dimensional standard Barcode 49 has been used extensively, but recently the Barcode 128 standard is becoming popular. This is due to the high cost of Barcode 49 systems: it's a standard under license whose bi-dimensional readers are expensive. Barcode 128 is an open source standard and its codes are slightly bigger than Barcode 49 ones.

4.- Order lost in report generation with Word® Automation.

Reports generated with Word® Automation (like those containing taxa-level information), SHOULD NOT be operated until they are done. Clicking anywhere during document generation will deorganize it, and you'll have to generate it again from the beginning.

5.- "Invalid use of Null" error when generating reports and record lists after making changes in the names' table.

This error occurs when an invalid entry is found in the names table, after including or modifying records. These invalid entries may include incomplete records or records whose empty fields have not been filled with underscores (_).

To overcome this error, all new or modified records must be reviewed in order to eliminate incorrect entries and/or an automatic tool must be run to fill with underscores the empty fields. One of these tools can be found in the "nomenclature" tab of the main menu, when clicking on the "Global operations" button.

6.- Additional BIBMASTER sessions open when generation documents with MS Word®.

Some MS Word® combined documents may open additional MS Access® sessions when performing an import data query to produce a document. These sessions will remain open, showing BIBMASTER main menu.

These sessions can be closed once the document has been generated.
